RETREAT TERMS & CONDITIONS

DEPOSIT

Once your retreat application is approved (within max 48 hours) you will receive a link to pay your deposit to reserve your spot in the retreat. The minimum deposit amount will be 50% of the full retreat cost. If this deposit is not made after 48 hours of the approval, you can lose your spot and we will give it to the next applicant.

Note: We strongly recommend that you DO NOT book any travel arrangements until the application is approved.

CANCELLATION 

Force Majeure: In the event of a force majeure situation, such as natural disasters, act of war, terrorism, pandemic or any other event beyond the control of the organizers, and we decide to cancel the retreat, the participant will be offered the option to transfer the registration to a rescheduled retreat date or receive a refund of the retreat cost (minus an administration costs of 200$). The organizers are not responsible for any additional expenses, such as travel expenses (e.g. flight tickets, train tickets, bus tickets, insurance, hotel expenses, etc).

NOTE: In Ecuador you may encounter social issues that occasionally make the news, such as strikes, civil unrest, or conflicts. The organizers, who are locals, ensure the safety of all participants and maintain transparent communication about any such matters. In the end the organizers will decide if the retreat can be completed or not. 

90+ Days Before Retreat Start Date:
If you cancel your reservation 90 days or more before the retreat start date, you will receive a 50% refund of the total retreat payment. The remaining 50% will be retained to cover administrative and production costs.

0–89 Days Before Retreat Start Date:
If you cancel within 89 days of the retreat start date, no refunds will be issued, including the deposit. This policy is in place due to commitments made on your behalf.

Cancellation by Organizer

Each retreat requires a minimum number of participants, which may vary depending on the venue. If this minimum is not met, we reserve the right to cancel the retreat. In such a case:

  • A full refund of all payments made will be issued, minus a non-refundable $200 administrative fee.
  • No compensation will be provided for travel or other related expenses (flights, trains, accommodations, etc.).
  • We will notify you as early as possible if cancellation becomes necessary.
  • Additionally, the organizer reserves the right to revoke participation—even after approval—if any information, behavior, or public conduct of a participant is found to be in conflict with the values of the retreat. This includes but is not limited to racism, discrimination, defamation, harassment, political extremism, or actions that could affect the safety, integrity, or harmony of the group.

Force Majeure / Unforeseeable Events

If the retreat must be canceled or postponed due to force majeure (e.g., natural disaster, global pandemic, government-imposed travel restrictions, or any event beyond our control):

  • The $200 administrative fee remains non-refundable.

  • We will make reasonable efforts to refund the balance of your payment, but please note that this may take up to 24 months, depending on our financial position at the time of cancellation.

  • We cannot cover or reimburse any additional costs you may have incurred (e.g., travel tickets, accommodations, insurance, etc.).

Requests for exceptions to this policy may be submitted in writing and will be reviewed on a case-by-case basis. However, approval is not guaranteed.

By registering for the retreat, participants acknowledge that they have read and understood this cancellation policy.

INTERNATIONAL TRAVEL

All retreat participants are responsible for all requirements to travel, including: meeting all requirements of foreign entry, supplying all necessary documents for travel (passports, visa, etc.), and making sure documents are valid and organized for foreign entry. We encourage you to carefully check for any prohibitions on traveling, warnings, general announcements, and advisories that the government of your travel destination or your country of origin has issued. We advise you to check all of this information carefully prior to booking your retreat, flights, etc.

International Insurance
For participating in this retreat you need to provide travel and health insurance (as informed in the application form). The additional purchase of TRAVEL AND HEALTH INSURANCE is a requirement to provide the utmost protection for all, and to prevent financial loss.

ACCOMODATION

If you have specific requests or needs for your room, we will do our best to accommodate you, however we cannot give any guarantees. All rooms are allocated on a first come first served basis, so the sooner you sign up, the more likely your requests will be fulfilled. If you do not have a roommate, you will be paired with another guest(s). If you’re joining the retreat with your friend/partner, please specify who your roommate will be when signing up for the course.

CODE OF CONDUCT

To ensure a safe, respectful, and inclusive experience for everyone, participants agree to:

  • Respect the shared space, people, land, and ancestral traditions.
  • Refrain from any form of verbal, physical, or energetic harm.
  • Avoid alcohol and recreational substances during the retreat.
  • Honor the privacy, boundaries, and personal processes of others.
  • Uphold a spirit of non-discrimination, care, and empathy toward all beings.
  • Any expression or act of racism, discrimination, defamation, or exclusion—online or offline—goes against the values of this space.

If such behavior is identified before the retreat, a review protocol will take place, including:

  • A written inquiry and opportunity for reflection.
  • A live conversation to assess awareness and accountability.
  • A final decision regarding participation.
  • If participation is revoked as a result, refunds will follow the retreat’s refund policy.
  • Violation of this code during the retreat may result in immediate removal without refund.

MEDIA CONSENT

Group photos and videos may be captured during the retreat for educational or promotional use. If you do not wish to appear in any media, please inform us in writing prior to the retreat.

POST-RETREAT INTEGRATION

We believe deep healing continues after the retreat. Integration is essential for lasting transformation.

Optional group calls or 1:1 sessions are available post-retreat, but not included in the retreat fee.

DISCLAIMER

By participating the retreat you acknowledge and agree to the following:

  1. Team VIDAYA COMMUNITY & JOURNEYS S.A.S. is not a medical organization and does not give or provide medical advice or assistance in whatever form. Our retreats do not replace any medical treatment. 
  2. You are solely responsible for evaluating and assessing your own health and wellbeing and determining whether, in all the circumstances, it is appropriate to undertake the recommended activities. If you are aware of any physical or psychological condition which would place you at risk to participate in any way with the activities, then you should seek appropriate medical advice before embarking on the retreat.
  3. You acknowledge that you are aware of the risks and hazards associated with the activities provided as part of the retreat, which may include discomfort or personal injury sustained as a result of engaging in the retreats activities.
  4. To the extent permitted by law, you agree to RELEASE, WAIVE, DISCHARGE AND COVENANT NOT TO SUE Team VIDAYA COMMUNITY & JOURNEYS S.A.S. from all liability, claims, demands, or action whatsoever arising out of or related to any damage, or injury, including death, that may be sustained by you while participating in the retreat.
  5. Team VIDAYA COMMUNITY & JOURNEYS S.A.S. provides no warranty as to any results or outcomes associated with completing the retreat.
  6. Team VIDAYA COMMUNITY & JOURNEYS S.A.S. does not warrant or represent that the information provided in this retreat is free from human or mechanical error.
  7. You cannot participate if you are under the age of 21. 
  8. No part of the retreat (included pictures, videos during the retreat) may be copied, reproduced, modified, republished, uploaded, posted, transmitted or distributed in any form or manner without VIDAYA COMMUNITY & JOURNEYS S.A.S. prior written consent. 
  9. VIDAYA COMMUNITY & JOURNEYS S.A.S. reserves the right to change the information offered on or via this internet site, including the text of this disclaimer, at any time and without further notice.
